Voicemail Access

Access voicemail, check messages, change greetings, and configure settings using simple dial codes from any phone.

Accessing Voicemail

Access Your Voicemail (*97):

Dial Voicemail:

  1. From your desk phone: Dial *97
  2. System connects to your voicemail
  3. If first time: Prompted to set up
  4. If configured: Prompted for PIN

Enter PIN:

  1. Enter your voicemail PIN
  2. Press # (pound key)
  3. If correct: Access voicemail menu
  4. If incorrect: Re-prompt (3 attempts)

Main Menu:

"You have 3 new messages and 5 saved messages"

Press 1: Listen to new messages
Press 2: Change folders
Press 3: Advanced options
Press 4: Change settings
Press 5: Leave a message
Press 0: Dial by name directory
Press *: Exit

Listen to Messages:

  1. Press 1 for new messages
  2. System plays each message
  3. After each message:
    • Press 1: Reply
    • Press 2: Save
    • Press 3: Forward
    • Press 4: Delete
    • Press 5: Repeat
    • Press 6: Next message
    • Press 7: Previous message
    • Press 9: Advanced options

First-Time Setup

On first voicemail access, system will prompt you to: 1) Record your name, 2) Set a PIN, 3) Record greeting. Complete setup before accessing messages.

Direct Voicemail Access (*98):

What's Different:

  • *97: Accesses mailbox associated with device
  • *98: Prompts for mailbox number (allows checking from any phone)

Usage:

Dial Code:

  1. From any phone: Dial *98
  2. System prompts: "Mailbox number?"
  3. Enter your extension: 1234
  4. Press #

Enter PIN:

  1. System prompts: "Password?"
  2. Enter your PIN: 4567
  3. Press #
  4. Access voicemail menu

Any Phone

*98 allows checking voicemail from any phone in the system. Just know your extension and PIN.

Check Another User's Mailbox (*99):

Permission Required:

  • Administrator grants permission
  • Typical for assistants checking executive voicemail
  • Or IT staff checking system mailboxes

Usage:

Dial Code:

  1. Dial *99
  2. System prompts: "Mailbox number?"
  3. Enter target extension: 2001 (boss's extension)
  4. Press #

Enter PIN:

  1. System prompts: "Password?"
  2. Enter their PIN (must know it)
  3. Or use master PIN (if configured)
  4. Press #

Access Their Voicemail:

  • Listen to their messages
  • Save, delete, forward messages
  • Cannot change their settings (typically)
  • Actions logged for security

Privacy & Permissions

Accessing another user's voicemail without permission may violate privacy policies or laws. Only do so with explicit authorization.

Check Voicemail from Outside:

Method 1: Call Main Number

Call main office number from external phone

When auto-attendant answers: Press *

System prompts: "Mailbox number?" Enter your extension: 1234#

Message Information (Envelope):

Press 3 during playback:
- Caller's number
- Date and time received
- Message duration
- Message priority (if set)

Playback Speed:

Press 8: Slow down (useful for numbers/details)
Press 9: Speed up (faster playback)
Default: Normal speed

Efficient Listening

Use # to skip to end of long messages. Use playback speed controls to save time when lots of messages.

Actions for Each Message:

Reply (Press 1):

During message: Press 1

System connects call to sender (if internal) Or prompts to record reply message

Leave reply or speak live

Save (Press 2):

  • Moves message from "New" to "Saved" folder
  • Prevents auto-deletion
  • Keeps indefinitely (or per policy)
  • Can listen again later

Forward (Press 3):

During message: Press 3

System prompts: "Extension to forward to?" Enter: 5678#

Optional: Record introduction Press 1: Send immediately Press 2: Mark urgent Press 3: Add introduction

Message delivered to target mailbox

Delete (Press 4):

  • Removes message immediately
  • Or moves to "Deleted" folder (if configured)
  • Deleted items may be recoverable (7-30 days typical)
  • Permanent deletion after retention period

Repeat (Press 5):

  • Plays current message from beginning
  • Useful if missed important detail
  • No limit on repeats

Delete Carefully

Deleted messages may be permanently removed after retention period (often 30 days). Save important messages before deleting.

Voicemail Folders:

Available Folders:

  • New Messages: Unheard messages
  • Saved Messages: Messages you've saved
  • Deleted Messages: Recently deleted (recoverable)
  • Urgent Messages: Priority messages (if supported)

Changing Folders (Press 2 from main menu):

"You are currently in: New messages folder"

Folder Management:

  • Auto-delete old messages: Configurable (30-90 days typical)
  • Saved messages: Never auto-deleted (or per policy)
  • Deleted recovery: 7-30 days typical
  • Quota limits: 100-500 messages (varies)

Folder Cleanup:

  1. Listen to saved messages periodically
  2. Delete messages no longer needed
  3. Archive important messages elsewhere (download/forward)
  4. Avoid hitting mailbox quota
  5. System may reject new voicemails if full

Mailbox Full

If mailbox reaches quota, callers can't leave voicemails. Clean up folders regularly to avoid missed messages.

Record Name (Press 1):

Change PIN (Press 3):

System prompts: "Enter new PIN"

Enter new PIN: 9876#

System prompts: "Re-enter new PIN to confirm"

System confirms: "PIN changed successfully"

Busy Greeting (Press 4):

  • Played when you're on another call
  • Different from standard greeting
  • Example: "I'm on another call, please leave a message"

Temporary Greeting (Press 5):

  • Overrides standard greeting temporarily
  • Use for vacations, sick days, etc.
  • Example: "I'm out of office until Monday..."
  • Disable when returning (reverts to standard greeting)

Professional Greetings

Record professional, clear greetings. State your name, when you'll return calls, and what to do if urgent. Update temporary greeting for extended absences.


Direct Voicemail Drop

Send to Voicemail Without Ringing: *5 + extension

Leave Voicemail Without Calling:

Dial Feature Code:

  1. Dial *5 followed by extension
  2. Example: *5-1234 (leaves voicemail for extension 1234)
  3. No ringing - goes directly to voicemail

Leave Message:

  1. System plays their greeting
  2. After beep, leave message
  3. Press # when done
  4. Or hang up (auto-saves)

Message Options (before hanging up):

Press 1: Listen to message
Press 2: Re-record message
Press 3: Mark urgent
Press 4: Send message
Press 5: Cancel (don't send)

What Recipient Sees:

  • Message notification (same as regular voicemail)
  • Sees your caller ID
  • Can reply or call back normally
  • No indication it was direct voicemail drop

Non-Intrusive

Perfect for leaving information without interrupting someone. They receive message but phone doesn't ring.

When to Use Direct Voicemail Drop:

Scenario 1: Leaving Information

Purpose: Drop off information, don't need to talk
Example: "Hi John, the report is ready in the shared folder"
Benefit: No interruption, they get info when convenient

Scenario 2: They're in Meeting

Purpose: Know they're busy, don't want to interrupt
Example: "Hi Sarah, I saw your calendar shows you're in a meeting. The client called, please call them back when free."
Benefit: Respectful of their time

Scenario 3: Time Zone Differences

Purpose: It's late/early in their time zone
Example: Leave message at 11pm your time (8am their time)
Benefit: They get message when they start work, no late-night interruption

Scenario 4: Asynchronous Communication

Purpose: Prefer voicemail over email for clarity
Example: Complex instructions easier to explain verbally
Benefit: Voice conveys tone and detail better than email

Scenario 5: Following Up

Purpose: Already left email/text, adding voicemail
Example: "Hi, following up on my email about the budget..."
Benefit: Multiple touch points, ensures they see message

Efficient Communication

Direct voicemail drop enables efficient asynchronous communication without phone tag or interruptions. Useful for modern flexible work schedules.

Limitations of Direct Voicemail:

What You Can't Do:

  • Can't tell if they actually check voicemail
  • No confirmation they received message
  • Can't discuss (one-way communication)
  • May miss urgent issues

When NOT to Use:

  • Urgent Matters: Call and interrupt if truly urgent
  • Discussion Needed: If you need immediate response or discussion
  • Confirmation Required: If you need acknowledgment
  • Complex Topics: Better suited for meeting/call

Alternatives:

  • Email: If written record needed
  • Text/IM: For quick questions
  • Schedule call: For discussions
  • Direct call: For urgent matters

Best Practice: Use direct voicemail for FYI information, follow-ups, and non-urgent communications. Use direct calls for urgent or discussion-required topics.


Voicemail-to-Email

Enable Voicemail-to-Email:

Log Into Portal:

  1. Navigate to user web portal
  2. Log in with credentials
  3. Go to Settings > Voicemail

Email Settings:

  1. Find "Email Notifications" section
  2. Enable "Send voicemail to email"
  3. Enter email address (verified)
  4. Choose options:
    • Attach audio file (yes/no)
    • Delete from server after email (yes/no)
    • Transcription (if available)
  5. Save settings

Test:

  1. Leave yourself test voicemail
  2. Check email arrives
  3. Verify audio attachment plays
  4. Confirm settings work

Troubleshooting

Forgot PIN:
