Activation & Setup Wizard
Before you can use your Cloud-PBX system, you need to activate it and complete the initial configuration wizard. This guide covers both the activation process and the setup wizard that runs on first login.
PBX Activation
What You'll Need
You should have received a welcome email containing:
- PBX Activation URL
- Activation Code (one-time use)
- Access credentials
Locate Your Welcome Email
Find the welcome email for your TheVoĉo Cloud-PBX in your inbox. The email contains your unique activation URL and code.
Can't Find It?
Check your spam/junk folder or verify the email address you provided during signup.
Access Activation URL
Click the PBX Activation URL in your welcome email to open the activation page.
Enter Activation Code
In the Activation Code field, enter the code provided in your welcome email.
Important
The activation code can only be used once. Make sure to enter it correctly without extra spaces.
Confirm Activation
Click Confirm to proceed to the installation wizard.
What Happens Next
You'll be automatically redirected to the Installation Wizard. Your PBX will be fully activated once you complete all wizard steps.
Troubleshooting Activation
If your activation code doesn't work:
- Verify you copied the entire code without extra spaces
- Check if the code has already been used
- Ensure the code hasn't expired
- Try copying and pasting instead of typing manually
If you haven't received the welcome email:
- Check your spam/junk folder
- Verify the email address you provided during signup
- Wait up to 15 minutes for email delivery
- Check with your IT department for email filtering

Installation Wizard
Critical
Your Cloud-PBX will only be fully activated once you complete the Installation Wizard. Don't skip this step!
When It Appears
The wizard only appears on first access with factory settings. You'll configure essential system settings that apply system-wide.
Step 1: Super Administrator Account
Purpose
Configure the primary administrator account with full system access and notification preferences.
Required Fields:
- Username: Login credential for PBX web portal
- Password: Secure password (remember this - system reset required if forgotten)
- Email Address: For notifications and password resets
- Mobile Number: For system notifications and 2FA
- Prefix: Optional dial prefix for outbound routes
Password Security
Use a strong password with at least 8 characters, including uppercase, lowercase, numbers, and special characters.
Notification Settings:
- Enable/Disable: Toggle system notifications on/off
- Contact Name: Identifier in notification contacts list
- Notification Level: Filter by importance (Critical, Warning, Info)
- Notification Method: Email, SMS, or both
Common Events:
- System failures or reboots
- Storage capacity warnings
- Security alerts
- License expiration notices
Recommendations:
- Use a dedicated admin email (not personal)
- Enable critical notifications via both email and SMS
- Document credentials in a secure password manager
- Set up a backup administrator account later
- Use a mobile number that's always accessible
Step 2: System Time
Purpose
Configure timezone and time display format for accurate call logging and scheduling.
Settings:
- Timezone: Select your geographic timezone
- Daylight Saving Time: Enable automatic DST adjustment
- NTP Server: Default or custom time server
Common Timezones:
- US/Eastern
- US/Pacific
- Europe/London
- Australia/Sydney
Format Options:
- Date Format: MM/DD/YYYY, DD/MM/YYYY, YYYY-MM-DD
- Time Format: 12-hour (AM/PM) or 24-hour
- First Day of Week: Sunday or Monday
Example Formats:
- US: 11/20/2025 3:45 PM
- European: 20/11/2025 15:45
- ISO: 2025-11-20 15:45
Impact:
- Accurate call detail records (CDR)
- Proper scheduled task execution
- Correct time-based routing
- Timezone-aware conferencing
- Compliance with call recording regulations
Step 3: Localization
Purpose
Customize language, prompts, and regional settings for your organization's location and preferences.
System Prompt Language:
- Select default system prompt language
- Download additional language prompts if needed
- Available languages: English, Spanish, French, German, Chinese, and more
Notification Email Language:
- Language for system email notifications
- Can differ from system prompts
- Matches administrator preference
Display and Identity:
- Device Name: Identifier for the PBX system (e.g., "Headquarters PBX")
- Name Display Format: How extension/contact names appear
- First Last
- Last, First
- Last First
- Tone Region: Regional dial/busy/ring tones matching your country
Supported Tone Regions:
- North America
- United Kingdom
- European countries
- Asia-Pacific regions
Dialing Protection:
- Country Code Dialing Protection: Block/allow international calling by default
- International Dialing Code: Prefix to identify international calls (e.g., 011 for US, 00 for Europe)
Best Practices:
- Enable protection if international calling isn't needed
- Set proper country code for your region
- Configure per-user permissions later for exceptions
Step 4: Confirm Settings
Purpose
Review all configurations before finalizing. This is your last chance to make changes before system reboot.
Review Configuration Summary
Carefully review the summary of all settings:
- Super administrator account details
- System time and timezone
- Localization preferences
- Regional settings
Make Adjustments (If Needed)
Options:
- Click Edit icon next to any section to modify specific settings
- Click Re-configure to go back to the previous step
- Navigate to any step to make changes
Apply Configuration
Click Reboot to apply all changes.
System Reboot
The system will reboot and apply all configurations. This takes 2-3 minutes.
Access Your PBX
After reboot, access the PBX web portal:
- Use your domain name or IP address
- Log in with super administrator credentials
- Begin configuring your phone system
Activation Complete!
Your Cloud-PBX is now fully activated and ready to configure. Follow the next steps to get started.
