  3. Clear Names: Use descriptive labels ("Client - ABC" not just "ABC")
  4. Include Area Codes: Always full number format
  5. Test Entries: Verify numbers dial correctly
  6. Document Codes: Keep list at desk for reference
  7. Don't Overfill: Too many entries hard to remember
  8. Use System Directory: For common office numbers
  9. Personal for External: Use personal speed dial for outside numbers
  10. Review Quarterly: Clean up and reorganize

Productivity Boost

Users save 15-30 seconds per call with speed dial vs manual dialing. For frequent callers, this adds up to hours saved per month.

Speed Dial vs Contacts

Speed Dial:

  • Dial with code: ##100
  • Limited entries (100 typical)
  • Curated frequently-called numbers
  • Fast access
  • Phone system feature

Phone Contacts/Directory:

  • Search by name
  • Unlimited entries
  • All contacts
  • Requires navigation/search
  • Device feature

When to Use:

  • Speed Dial: Top 10-20 most frequent numbers
  • Contacts: All other numbers, infrequent calls

Combination:

  • Use both together
  • Speed dial for very frequent
  • Contacts for everything else
  • Best of both worlds

Common Speed Dial Codes

Industry Standards (if your org uses):

CodeCommon Usage
##0 or ##100Reception/Operator
##911Emergency (though direct 911 better)

Troubleshooting

Speed Dial Not Working:

  • Verify code exists (check portal)
  • Confirm correct code (##100 vs *75-100)
  • Test dial number directly (verify number valid)
  • Check feature enabled
  • Try different phone

Wrong Number Dials:

  • Number may have changed
  • Update entry in portal
  • Verify number format (area code, etc.)
  • Check for typos in stored number

Can't Program Entry:

  • Check permissions (user vs admin entries)
  • Verify quota not exceeded
  • Confirm number format valid
  • Try web portal instead of phone

Forgotten Codes:

  • Check web portal (lists all entries)
  • Print reference sheet
  • Use phone contacts as fallback
  • Ask IT for system directory
